Job Description

Job Summary

As a receptionist, the incumbent will be the ambassador of the Dana Group of Companies’ first impression on the guests and visitors. It will be their foremost responsibility to welcome all incoming guests, members and to help them with directions or any appropriate information that they need while maintaining a high level of confidentiality and professionalism.

The receptionist will be required to professionally answer phone calls in a polite manner and forward calls to the intended offices, and to also perform various duties including stationery and grocery management and other clerical tasks such as filing, handling and re-directing mail.

Main Responsibilities

  • Answer incoming phone calls, determine purpose of the callers, and forward calls to appropriate personnel and departments
  • Greet visitors/guests/members professionally, and determine their nature and purpose of visit
  • Direct and accompany visitors/guests/members to appropriate destination or waiting rooms
  • Monitor visitors’ access to the Company
  • Collect, sort, distribute and prepare correspondence, mail, messages and courier deliveries
  • Schedule appointments, maintaining & updating calendars, and reminding the respective personnel of the appointments
  • Create and print memos, mail, reports and other documents
  • Support the Mission, Vision and Core Values of the Company
  • May be required to perform basis clerical duties, such as e-mailing office notes and photocopying
  • Purchase, record and maintain office stock, such as stationary, groceries etc
  • Reconcile office stock with current stock
  • Assist with clerical duties as may be required

Requirements and Skills

  • Conversant with use of Microsoft Office Suite
  • Experience with office equipment
  • Professional attitude and appearance
  • Excellent written and verbal communication skills
  • Highly organised individual

Qualifications

  • Grade 12 Certificate
  • Certificate/Diploma in Office Management/Business
  • Administration/Secretarial Studies or any related field from a duly accredited higher learning institution
  • Minimum 3 years’ experience in a similar role in a sizeable organisation
