Job Summary
The Administrative Officer / Executive Assistant will be responsible for providing high-level administrative support to executives, managing office operations, and ensuring efficient workflow. This role involves handling confidential information, coordinating meetings, preparing reports, and overseeing general office administration.
Key Responsibilities
Executive Support:
Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
Prepare meeting agendas, presentations, and minutes.
Handle confidential documents and communications with discretion.
Act as the first point of contact for internal and external stakeholders.
Administrative Duties:
Oversee office operations, supplies, and facilities management.
Maintain and organize office records, databases, and filing systems.
Draft and proofread reports, emails, and correspondence.
Assist in budgeting, expense tracking, and invoice processing.
Coordination & Communication:
Liaise between executives, employees, and external stakeholders.
Coordinate internal and external events, conferences, and meetings.
Manage company correspondence and communication flow.
Project & Task Management:
Assist in project management by tracking deadlines and deliverables.
Support HR functions, such as onboarding, training coordination, and employee engagement.
Conduct research and prepare reports as required.
Required Skills & Qualifications
Bachelor’s degree in Business Administration, Management, or a related field.
1+ years of experience in administrative/executive support roles.
Strong organizational and time-management skills.
Excellent verbal and written communication skills.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and office management software.
Ability to multitask, prioritize tasks, and work under pressure.
Strong problem-solving skills and attention to detail.
Ability to handle sensitive information with confidentiality.
