Position Overview:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support senior leadership within Azure Financial Services. The ideal candidate will be responsible for managing a variety of executive-level administrative tasks, ensuring smooth operations for the executives they support, and contributing to the efficient running of the business.

Key Responsibilities:

Executive Support:

Provide high-level administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.

Communication Management:

Act as a liaison between the executives and internal/external stakeholders, ensuring clear, timely communication. Draft emails, reports, and other correspondence on behalf of the executives.

Meeting Coordination:

Schedule, prepare agendas, and take minutes for internal and external meetings. Follow up on action items and ensure timely completion.

Document Management:

Organize and maintain confidential files and records, ensuring all documents are up to date and easily accessible.

Project Assistance:

Assist with various corporate projects by tracking timelines, ensuring deliverables are met, and providing research or administrative support as needed.

Financial Administration:

Manage expense reports, invoices, and budgets for the executive team, ensuring compliance with internal policies.

Event Coordination:

Plan and coordinate corporate events, conferences, and client meetings, ensuring all logistical aspects are managed seamlessly.

Miscellaneous Tasks:

Handle personal and ad-hoc tasks for executives as required to optimize their productivity.

Qualifications & Skills:

Education:

Bachelor’s degree in Business Administration, Finance, or a related field (preferred).

Experience:

2+ years of experience as an executive assistant or in a similar administrative role, preferably within the financial services industry.

Technical Proficiency:

Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with office management software (e.g., Slack, Trello) and basic financial software is a plus.

Communication:

Exceptional written and verbal communication skills, with the ability to interact professionally with all levels of staff and clients.

Organizational Skills:

Strong time-management skills and the ability to manage multiple priorities with a high level of attention to detail.

Problem-Solving:

Ability to think critically, solve problems quickly, and handle sensitive situations with discretion.

Confidentiality:

Demonstrated ability to handle confidential information with integrity and professionalism.
