Job Description
Duration: 1 Year (Renewable based on performance)
Responsibilities:
The postholder will work under the supervision of the Human Resources and Administration Officer and be expected to work independently. Excellent communication and continued maintenance of relationships with all staff in the organization, customers, and visitors are needed.
Key Duties:
- Assisting patients with completing necessary forms and other documents.
- Scheduling appointments and keeping appointments on time.
- Filing and maintaining medical records and ensuring that such records are up to date.
- Welcoming patients and visitors and answering the telephone and other inquiries politely.
- Show courtesy attending to patients during the process of registration.
- Accurately capture and enter relevant patients’ information.
- Keeping patients’ files in good condition and ensuring easy accessibility.
- Provide comfort and support to patients by courteously welcoming them.
- Maintaining the confidentiality of patient information.
- Keeping track of office supplies, and inventories and placing orders as necessary.
- Using a computer, medical office software (SmartCare Pro), and other technology to keep patients’ information organized and up-to-date.
- Keeping the waiting room and reception clean and inviting.
- Complete accurate documentation of patient visits.
- Participating in training to understand TDLTS policies and procedures.
- Maintaining patient flow to ensure timely appointments and service delivery.
- Conduct meetings to discuss improvements in patient service delivery.
- Overseeing the maintenance of patient records and data integrity.
- Communicate effectively with other departments to ensure the timely delivery of quality health services.
- Minimize patient’s stress by anticipating their anxieties, answering questions, and maintaining a calm and orderly environment in the reception area.
- Ensure the availability of treatment information by filing and retrieving patient records.
- Helping patients in distress by responding to emergencies and solving problems.
- Assisting new patients with directions to other treatment offices.
- Ensure that you are capable of multi-tasking and working independently.
- You must also ensure that you are a team player.
- Perform any other duties as assigned by your supervisor.
Qualifications and Experience:
- Minimum of grade Twelve (12) School Certificate with 5 credits in English, Maths, Sciences, and any other subjects.
- Any tertiary education is an added advantage.
- Minimum of Three Years of work experience in a similar capacity with traceable references.
- Computer Literacy.
- Strong interpersonal skills.
