Job Description

Zambeef Products PLC is the largest integrated cold chain food products and Agribusiness Company in Zambia and one of the largest in the Southern Africa region. It is involved in the primary production, processing, distribution, and retailing of beef, chicken, pork, eggs, dairy, fish, flour, stock feed, and day-old chicks throughout Zambia and the surrounding region.

ORDERING AND INVOICING SUPERVISOR– HUNTLEY FARM (X1)

The Required Skills for the Role Include:

  • Overseeing Order Processing and ensuring that all customer orders are processed accurately and efficiently from receipt to fulfillment.
  •  Monitoring Order Fulfilment by Tracking the status of orders and ensuring timely delivery, addressing any issues that arise.
  •  Coordinating with Other Departments by Collaborating with inventory, procurement, and shipping departments to ensure order requirements are met.
  • Generating Invoices and issuing invoices for completed orders, ensuring accuracy in billing details and amounts.
  • Reviewing and Validating invoices for correctness, approving them for payment, and resolving any discrepancies
  • Managing Billing Queries from customers and addressing any disputes or corrections needed.
  • Maintaining Customer Records and Ensuring that customer order and invoicing information is accurately recorded and updated.
  • Handling Customer Complaints related to orders and invoices to maintain customer satisfaction.
  • Communicating with Customers by Providing information on order status, delivery timelines, and invoice details as needed.

  • Assessing order and invoicing data to identify trends, inefficiencies, or areas for improvement.
  • Developing Procedures and refining processes for order management and invoicing to enhance efficiency and accuracy.
  • Providing training and support to team members on order processing and invoicing procedures.
  • Ensuring that the ordering and invoicing systems are functioning correctly and working with IT to resolve any technical issues.

The Required Qualifications and Experience:

  • Must have a Grade 12 Certificate
  • A Degree in Accounting, Finance, Business Administration, Supply Chain Management
  • 3-5 years of experience in order processing, invoicing, or related financial roles.
  • Prior experience in a supervisory role.
  • Professional membership

  • Familiarity with distribution
  •  Ensure that invoicing practices comply with company policies.
  • Facilitate clear and professional communication with customers regarding invoices and billing issues.
  • Strong attention to detail
  • Streamline Invoicing Processes by Developing standard operating procedures and automate repetitive tasks to improve workflow.
