Job Title: Receivables Controller

Job Overview:
As a Receivables Controller, you will be responsible for managing and overseeing the full accounts receivable process, including ensuring timely and accurate customer payments, account reconciliations, and monitoring of credit limits. You will also manage intercompany and external payments, credit notes, and disputes, while working closely with the Credit Controller and Finance Manager to resolve discrepancies. The role requires preparation of monthly reports, journal postings, and supporting audits, while ensuring compliance with company policies and financial regulations. This position demands a high level of accuracy, attention to detail, and excellent communication skills to ensure smooth financial operations.
Key Responsibilities:
Customer Payment Processing and Allocation:
Ensure customer payments are processed daily, allocating payments correctly in accordance with customer remittances.
Monitor and reconcile customer accounts to maintain balances within agreed credit limits.
Ensure GL and customer reconciliations are completed on time, ensuring that un-reconciled transactions after month-end are cleared within 1 week.
Bank Reconciliation:
Extract bank statements from the relevant banking platform and upload them into the financial system (ERP).
Allocate transactions to the correct general ledgers, supplier, and customer accounts.
Ensure accuracy in general ledgers by staying updated on outgoing payments.
Interface Balancing:
Extract debtor, and journal reports from Bridge Connect and SAP.
Check for interface discrepancies and resolve variances in coordination with the Bridge Connect team and service desk.
Debtor’s Suspense Account Management:
Reconcile the debtor’s suspense account monthly, following up on outstanding items and clearing them from the clearing account.
Credit Management and Monitoring:
For customers with long-outstanding dues, take all necessary steps to collect overdue payments and help improve cash flow.
Report and escalate any breaches in credit limits with the Financial Manager and Head Accountant.
Ensure customer accounts are closely monitored and reconciled to prevent overdue payments.
Request intercompany reports from the SA team, reconcile accounts, and prepare the intercompany report.
Payment Collection and Follow-Up:
Manage successful payment collections by following up with customers, generating reminder letters, and sending monthly statements.
Flag any customer payment breaches with the Head Accountant and Finance Manager and assist with resolving overdue payments.
Reconciliation and Reporting:
Prepare and send the monthly debtors’ ageing report, ensuring accurate segregation of intercompany, inter-divisional, and external accounts.
Report and resolve any reconciliation items with the Head Accountant and Finance Manager.
Conclude all month-end reporting within 48 hours.
Journal Processing and Account Reconciliation:
Process debtor journals and reconcile rental accounts, preparing the sundry debtor’s journal for approval.
Ensure the timely and accurate posting of financial transactions to maintain up-to-date accounts.
B2B System Management:
Manage B2B system items, ensuring any issues are closed within 24 hours, and escalate unresolved issues to the Head Accountant.
Staff and Sundry Debtors Management:
Monitor and control staff and sundry debtor accounts, ensuring timely processing of payments.
Audit and Compliance Support:
Assist with the collection and preparation of audit documentation, ensuring that all information is accurate and up-to-date.
Communicate clearly on any anomalies or issues requiring senior management attention.
Ad-hoc Tasks:
Provide support with additional tasks as requested by the Head Accountant or colleagues.
Assist with general financial duties and other tasks related to receivables management as necessary.
Required Qualifications and Skills:
Degree in Accounting, Finance, or a related field.
Minimum of 2 years of accounts receivables experience.
Strong working knowledge of accounting systems (SAP, or similar ERP systems).
Proficiency in Microsoft Excel and other financial reporting tools.
Excellent attention to detail, organizational skills, and the ability to prioritize tasks effectively.
Strong communication skills, both written and verbal.
Knowledge of intercompany accounting processes, credit control, and reconciliation procedures.
Strong problem-solving abilities and the ability to handle multiple tasks simultaneously.
