About the role:

The Site Administrator is responsible for managing administrative functions at the construction site, including HR, H&S, Stores / Inventory, Security, Office Setup & Management, Employee Lodging / Meals, Transportation, and Regulatory compliance.  The role requires strong organizational and communication skills to support the efficient operation of the project.  The Site Administrator will ensure an efficient operating environment which enables the Project Manager (and remainder of the team) to focus entirely on construction.

Key Responsibilities:

1. Worksite Operations

  • Ensure a well-resourced work environment, with all tools and services required by the construction team and Project Manager
  • Act as the point of contact for administrative inquiries on-site.

2. Inventory/Stores and Logistics 

  • Oversee Stores and Inventory balances for the project
  • Assist in scheduling deliveries and tracking material inventory.
  • Work with the Procurement Lead to ensure materials are accounted for upon arrival.

3. Security 

  • Oversee Security measures for the work environment

4. HR & Payroll Support

  • Organize staff accommodations, meals, and transport where required.
  • Organize and track attendance records for site workers and contractors.
  • Manage timesheets and coordinate payroll submissions for site workers.
  • Ensure compliance with labor laws and employment contracts.
  • Address basic HR queries and escalate issues as needed.

5. Compliance & Safety Documentation

  • [Act as the H&S Officer onsite.]
  • Ensure health and safety documentation is maintained and up to date.
  • Ensure all site activities comply with regulatory and company policies.

Desired Skills and Experience 

Education

  • Diploma or certification in Business Administration, Construction Management, or a related field.

Experience

  • Minimum 3 years of experience in construction site administration or office management.
  • Familiarity with construction project workflows and requirements.

Skills & Competencies

  • Strong organizational, problem-solving, and multitasking abilities.
  • Highly pro-active
  • Proficiency in Microsoft Word and Excel.
  • Good communication and interpersonal skills.

Compensation:

  • Performance-Based Incentives: Completion bonuses based on project meeting budget and timeline targets.
  • Housing Allowance: Provided for the duration of the project in Kalumbila.
  • Transport & Site Allowances: Covered for work-related travel.
  • Contract Type: Fixed-term contract for the duration of the construction project (with potential for renewal based on performance and future projects).
